How-to

For organizations

Your organization's console: its XPs, players, members' page and Player of the Year

Get your organization's console

An association, a men's club, a charity series or a company league gets its own console on Golf Sync, where its organizers make, copy and run the organization's events. Golf Sync sets up each organization's console and adds its organizers, each by the email on their Golf Sync account: to set one up for your organization, or to be added to one, email support@golfsync.io. Sign up for Golf Sync first with the email you want added: we can only add an email that has an account. Once you're added, we email you the link to your console. Sign in with that email address.

On your dashboard, Your organizations opens your console: press Open. If you organize more than one organization, you pick one, and each card says Open console. Golf Sync adds and removes your organization's organizers: send us the email on the new organizer's account.

Your organization's console

Your console wears your organization's logo and colors. Its tabs are Events, Players, Rosters, Email your list, Player of the Year and Assistant. Each of them says what it is for, with Guide to open its part of this page and Ask the Assistant to ask about it. Help at the top opens this guide.

Events is where you start: New event, XP board and Members' page, then Your events, latest dates first, each with Copy and Open console. Below them are your event staff and your organization's look and website.

Make your events

Press New event. Every event you create belongs to your organization and starts with its logo and colors. Name it, say what you're playing, and whether it's An event or A weekly league. Then give each tournament (or the first week of a league) its date, course, holes, tee time and how the field goes off, pick a format and scoring, and press Create Golf Sync XP (or Create the weekly league). One event is one season of up to 26 weeks: make the next season its own event. You can make as many events as you like. Every organizer can run every one of your events; connecting or changing an event's payment account stays with the organizer who made it.

Copy last year's event. On Your events, Copy makes a private draft with the same setup and new dates: registration closed, new codes, and nobody emailed. Press Create the draft, then Open its Event console. If last year's event took card payments, the copy keeps its Stripe account linked, and registration stays closed until its owner confirms that account, or connects a new one, in Payments. To copy a whole season at once, use Copy a season on your XP board (below).

Your plan. The line under Events says how Golf Sync is paid for each new event: your plan covers every one, or each is invoiced when it's made. A copy is a new event, billed the same way, and Copy and Copy a season show the same line.

Put an event on your members' page. A new event starts private. On its Event console, open Tournaments, then Codes & public page: press Allow a public page, then Give it a URL, then List in catalog (or Publish for members on an event for your members only). Only a listed event shows on your members' page.

Your XP board

XP board, under Events, opens every XP your organization runs, with what needs doing on each. Look at it as My day, Timeline, Table, Readiness, Calendar, Notes or Activity (the keys 1 to 7 switch between them). Open an XP to act on it.

Who's on it. Put one of your organizers on an XP with Who's on it, or press Take it yourself: My day then shows what is yours today, this week and overdue.

Notes. Write a note on an XP (about the whole event or one tournament), give it a topic, put it on an organizer, and set a day to follow up. Pin it to the top, Close it with what happened, or Snooze it. Open notes and follow-ups due show on the board's tiles and in Notes.

Keep it tidy. File an XP under a Category (Juniors, Majors) and filter by it. Mark its Setup and Wrap-up checklists with Mark done… or Mark not applicable… where Golf Sync can't see it was done. Saved views keeps the board the way you like it, for all your organizers. Archive takes a dead draft off every count, and Show archived brings it back.

Next season. Copy a season lists this year's XPs: tick the ones to bring back, pick each one's first date, and make the drafts. Each is a private draft with registration closed, new codes, and nobody emailed, filed under the same category.

Your players

Players keeps the members and guests your organization runs events for. Press Add player and type a name, or the address of their Golf Sync account to link them: their name, address and phone then come from their account. For each player keep what you know: member or guest, member number, membership type, a birth year for age groups, the ratings they play to, tags and notes, and your GHIN record (their GHIN number, handicap index and the day GHIN revised it). To bring in your list, press Import players and paste it from a spreadsheet or upload a .csv, check what each column is, preview, then import. A sheet imported twice adds nobody twice. Event handicaps sets an event's handicaps from your GHIN records, History shows a player's events with you, and Archive takes someone off the list and keeps their history. Adding a player never emails them.

Your rosters

Rosters keeps fields, pairs and teams of your players, to set an event up again. Build a roster picks players from your list (members or guests, membership types, tags, tees, ages, an index range) and groups them in order, by a draw, balanced, or A-B-C-D. Save an event's field keeps the players and teams of an event you ran. Then Import into an event: preview first, and the import seats everyone on each day of the XP that hasn't started, and makes the pairs or teams its teams when it plays teams of that size.

Email your list

Email your list writes to your players: all of them, or members or guests, a membership type, a tag, an age this year or a saved roster; pick more than one and it goes only to players who match all of them. Press New email, write it, and Save draft to see how many it reaches. Then Send me a test, Send now, or pick a time and Schedule. Every copy has an Unsubscribe link, and nobody who unsubscribed, bounced or turned off emails from their organizers gets it.

Who may enter, and members' prices

An event can be for anyone, for your members only, or for your members and their guests. Once a tournament has its URL (see Make your events, above), open Registration on its Tournament console, then Registration settings, and choose in Who may enter: Anyone, Members only or Members and their guests. A member is someone marked Member on your Players list who signs in with the account you have for them. Nobody else sees a members' event, and it never shows in the Tournament Center. On an event with guests, a guest typed with an email joins your list as a guest.

A price can carry a lower one for members: in the event's registration prices, fill in Members pay (USD). A member signed in as themselves pays it; their guests and everyone else pay the price.

Your event staff

The people who run your event days (a starter, the check-in table, a volunteer on scoring) are added once, in Event staff under Events: type the address of their Golf Sync account and add them. On every event your organization runs they open the check-in desk and, on their phone, enter scores, with no access to money or settings. They find your events from yesterday to a month ahead under Event days you help run, on their own My Tournaments page and on their phone. Remove, then Take off, takes someone off every event at once. Your organizers already run every event, so they aren't added here.

Player of the Year

Player of the Year runs a season-long points race across your events. Press New race, name it, tick the events that count (and count your majors double), choose how places become points, and whether only each player's best results count. Tick Show the standings on your members' page when you're ready, then Create race. Each day of a counted event earns points for where each player finished that day, once that day is finalized, so a two-day event counts twice.

Your members' page

Your members' page is your organization's calendar, as your members and any golfer see it, under your logo and colors: your upcoming events, each with Register as its event page offers it, a feed to Subscribe in your calendar, your Player of the Year, and past events with their results. A golfer who signs in also sees their own results in your events. Members' page under Events or on your XP board opens it; Copy link beside it under Events copies its address to send your members.

Only the events you've listed show (see Make your events, above). An event for your members only shows only to your members, and never in the calendar feed.

Your logo, colors and website

Your look and site, under Events, sets your logo and two colors once: every new event you create starts with them, and an event you already made keeps its own. Press Upload logo for a PNG, JPEG, WebP or GIF up to 5 MB, pick a Main color and a Second color, and press Save colors.

Your website. Give the page of your own site, starting https://, that golfers go back to after they sign up for one of your events (your home page, or a thank-you page), and press Save website. After a card or bank payment they go back by themselves in a few seconds; after Venmo, a check, paying later or a free entry, they see what to do first, then a button back to you. Leave it blank to keep golfers on Golf Sync.

Your plan

Golf Sync sets your organization's plan when we set up your console: a monthly plan that covers every event your console makes, or one event at a time, each invoiced when it's made. Invoices come by email, and you can pay them online. To change your plan, or who the invoices go to, email support@golfsync.io.

An outside group's event. On the monthly plan, made one of your events for an outside group, so they run it on Golf Sync's tools? On that event's Event settings, An outside group's event records what you charged them: Record the fee, and Golf Sync's half goes on your next monthly invoice. You bill the group however you like.

Ask the Assistant

Assistant answers questions about your events, players and rosters (“which events are coming up next month?”). Ask how to do something and it gives you the steps, with a link to the part of this guide that explains them; ask to go somewhere and it takes you to the right place on your console or an event's console. Say what you want done and it sets the change up for you to confirm: create an event, put the players and teams from a file into it, change a setting, save or import a roster, add a player, set an event's handicaps, start or edit a Player of the Year (and show it on your members' page), add event staff, or file, note, mark and archive an event on your XP board. Attach a spreadsheet, a CSV, a Word document, a PDF or a photo of a paper sheet and it reads it. Nothing changes until you press Confirm. Refunds, deleting and finalizing stay buttons for you to press. It answers up to 150 questions a day for each of you.

On the phone

In the Golf Sync app, Your organization on the home screen opens your events: each opens Day-of on its day, or its Event console. Create events on golfsync.io. Your event staff find your events under Event days you help run, with Enter scores and Open the check-in desk.

A golfer who has signed up for one of your events finds your page in the app: their registration, under Your registrations on the Leagues screen, opens your members' page, where a free event takes Register in one tap. An event with a price says Sign up for this event on golfsync.io.

Run your event

Each event runs on its own Event console: one event code with a page of every day's join code, registration and payments set up once, pairings, live scoring, leaderboards, contests, sponsor boards, a print pack, the cash position and the event recap. Running a Golf Sync XP walks through running one, from setup to the recap. Running events at a golf course of your own? For golf courses covers a course's console.
