You're organizing the round — here's how to coordinate your group from availability check through payment settlement.
The Booker Workflow
1. Check Availability First (Recommended)
Before committing to a tee time, go to Tee Time Polls from the menu or dashboard. Create a new poll: give it a title (e.g. "Memorial Day Weekend"), add 2–4 date/time options, and invite your friends. Friends vote "I'm In" or "Can't Make It" on each option. Come back to see the results and pick the date with the most availability before you book.
2. Book a Round
Go to Book a Round from the dashboard or menu. Enter the course name, date, time, and number of players. Invite friends by username. You can also use the AI assistant on the dashboard to help set up a round — just type what you need.
3. Pick a Scoring Mode
When creating a round you choose a scoring mode that drives the rest of the experience. Individual (default) — every player keeps their own scorecard. Scramble — one shared team scorecard, everyone takes the best lie. Best Ball — each player tracks their own score and the team takes the best per hole. Alternate Shot — one shared team scorecard, players alternate strokes. Team modes share a single scorecard you'll all see and edit together.
4. Invite Players at Booking
When the round is created, type the usernames of friends you want to invite. Or use "Invite by email" to email someone who isn't on Golf Sync yet — they'll get a sign-up link tied to your round. Or generate a shareable invite link to text to anyone. Invitees see a pending invitation on their dashboard.
5. Add Players Later
Changed your mind about the group? Open the Round detail page and use the Add Player input at the bottom of the Players section. Type a username and click Add Player — they'll be sent an invitation immediately. The Invite by email and Share invite link options are also still available.
6. Nudge Non-Responders
If a player still hasn't responded, find them in the Players list (shown as INVITED). Click the yellow Nudge button next to their name — this sends them an in-app message prompting them to respond. You'll see the message appear in their Clubhouse Chat inbox.
7. Attest a Booking (PENDING → BOOKED)
New rounds start in PENDING status until you confirm the tee time is actually booked with the course. From the round detail, tap "Confirm booking" to flip to BOOKED. Skip this step by checking "I've already booked through the course" at round creation — that creates the round directly in BOOKED.
8. After the Round — Scorecard Capture
When the round is over, anyone in the group can open the round and scan their paper scorecard with the camera (or enter scores manually). For team rounds, the shared team scorecard is the source of truth. See the Scorecards & Scoring guide for the full scanning + editing flow.
9. Set Dues and Track Payments
After the round, set what each player owes in the Players section on the Round detail page. Enter the dollar amount (e.g. 50.00) and click Set Dues. Once a player pays you, click Mark Paid. You can also click Waive to forgive what someone owes. Players see what they owe on their own copy of the round detail.
10. Mark a Round Complete
When everyone's posted their score and dues are settled, tap "Complete Round" on the round detail. Completing the round unlocks peer ratings — everyone in the group can now tag teammates with traits like "Fast pace," "Good etiquette," or "Knows the rules" from the Rate your group section that appears on completed rounds.
11. Cancel a Round
Only the round creator (booker) can cancel a round. Open the Round detail page and click Cancel Round. This sets the round to CANCELLED — invited players will still see it in their history.
